To do this, open up your scheduled meeting in the calendar that you are using and click on “Forward as iCalendar&#. If you want to update the calendar, you would have to make the changes in the meeting request directly. This way, they will be more inclined to read the e-mail properly.

Use your cell phone alarm Chances are, you use your calendar to remind you about meetings and any important events. I have 2 sets of alarms on my calendar. Constantly update it as well.

Since Outlook only allows for one time zone to be added to the persons calendar , this makes it a little difficult. I am currently in the process of doing this for one of my managers. Since I work at home (and because we're full-time RVers, always on the road), I need to be able to fax/copy/convert from anywhere. My scanner serves all these purposes -- scan a document in and you can then e-fax it over the internet, print out a copy, edit it directly through OCR software, save it as a PDF and toss the paper.

Fax Blasts I remember someone from my IAAP Chapter asked me to fax the notice of our Chapter dinner to a list of about 60 companies to promote it. Our organization uses Google Apps for our e-mail, calendar and cloud solution. Unlike traditional e-mail, Google Apps utilizes labels instead of a folder system for e-mail sorting and storage. If there is a task involved, then schedule it in your calendar or put it in your task list. Lovin' Those Labels!

  Also, when you come across papers that are date driven, make sure to add an entry to your calendar/planner to remind you to do things.  The tool gives you a powerful index search -- like how you would search on Google -- that allows you to find your information fast.    Avoid backlog.
