Yes to Michael Kors’ party, I want the driver to drop me off at 9:30 and pick me up at 9:45 sharp. Similarly I have a large A4 desk pad next to my keyboard for any quick notes I need to make, things to remember (like phone numbers for instance), and tasks people give me at my desk. I seriously count on my calendar to keep track of what I’m supposed to do, and when, and it’s my first-used tool in just about everything I do. I calendar (in Outlook) everything during my work day (generally 8a-6p, M-R).

  When problems came up, they were resolved efficiently so that we could get back to work.   I back up my computer using Carbonite to the cloud.   When something does not work well, I would drop my computer off at the desk and they'd fix it in a few hours and I'd be up and running again. so I thought.

The tip she sent me was how to edit an email that you have received. Close out of the email and you will be asked to Save the changes.

My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). No surprises!

It works well when it is a co-worker who sits closest to you, but depending on how your office is set up that might not be possible. She had to set up an away voicemail message and fortunately had kept a script of what her away message usually said, She worked for a doctor so it was important that the proper referral numbers were given.

To set a recurring 9-5 meeting (as opposed to clicking all-day meeting) I dont like the all-day meeting settings as they are out of sight at the top of the calendar and easily missed. His calendar then shows blocked time and nobody misses seeing that he is away. Your bosses calendar will now show Monday to Wednesday blocked from 9-5.

If it is a big project I use a calendar and write down all my required to-dos on the dates I need to get them done to make my deadline. If I am told that I should have it in the next few weeks, or can expect to receive it in a couple of months, that doesn’t really help me with my follow up as it is not a definite date.

The only thing I noticed was some lag when typing an email. You see, I use my phone heavily for email. I also have many contacts and calendar items. There’s a big lag between what I type and what shows up on the screen. What’s worse is that as the keyboard is getting more use, it’s not as sensitive.

Another bring-forward and organizing tip my friend shared with me (that she picked up from another assistant along the way) is using two-fold folders, with inside pockets. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder.

Another time I was trying to find a full-serve gas station to fill up, but there was nothing to be found. It was expensive,but when I brought it home I had to do all the work to get it up and running. He loved it and I believe ended up doing his job better because of it. Once a date is finalized I put it in my bosss calendar and confirm the meeting with the other participants. Another benefit to writing it down is if your boss asks you to cancel it or to quickly tell you when the meeting is, you can look at the sheet rather than trying to search for it in your calendar. Minute taking made easier.

I take the bus to work and I often see people getting on a busy bus and then going through their backpack or purse looking for their bus tickets and holding up the line. In other words, I wanted to be able to access my email, calendar, tasks, and notes from anywhere. The Tasks in Google Calendar is measly and doesn’t have the ability to set priorities, recurring tasks, and, most importantly, synch with my phone. Google Apps did everything except Tasks. Enter Astrid. Problem solved.

I can hardly keep up with my own e-mails at times let alone someone elses account, but that is part of my job. If there are any deadlines or appointments, put them in your boss’s calendar or task list with appropriate reminders. Does it raise a question for you to follow up with your boss? Some emails are obviously junk.
