If the meeting is internal, I send a meeting request, but for external meetings I tend to just confirm with them the meeting details by phone or e-mail. Tried and True Method: I set up 12 hanging file folders labelled January through to December. I then put the items in a two-fold file folder with his calendar printed out on the one side and the items he will need for the day on the other side. This is useful if you want to file the email and change the Subject line to something that better describes what the email is about or to put notes in the email. You can also attach a file from Word, Excel or PowerPoint or a business card from your Contacts if it is someone you need to remember to call and want that information available.

Keep an organized filing system and file list. If your boss tends to misplace things when they get it, make an extra copy for your file before giving it to them. Every afternoon before I leave for the day, I go through the hanging file for that month to see if there is anything I need to bring forward for the next day.
