Try to anticipate the need so you can have the file or the answer your boss needs, before he or she even knows they need it. Be professional on the phone and greet people who come calling, but not everyone needs to get in to see the boss. An assistant should pay attention and know what is going on in their boss’s world.

Even if you phone the bank they need your secret passcode or they wont speak to you about your account. I keep mine in an encrypted Word file on my computer. I also have an encrypted file with various other important numbers like my and my husbands social security numbers and the like. Thanks everyone for your input.

At one office I worked in we had a mail cart with slots for everyones mail, but it was filed First name, Last name. the phone book, standard filing practices etc.) This goes for filing and also how your contacts are ordered in Outlook. If you open the contact card you will see in the first section File As.

When I receive an initial request for a meeting, I use a meeting form and write down the information I need: who is requesting the meeting, what is the purpose of the meeting, where it will be held and a phone number or an e-mail address and dates that are available. When a meeting is finalized, I put the scheduling sheet in a completed file.

Tried and True Method: I set up 12 hanging file folders labelled January through to December. I then put the items in a two-fold file folder with his calendar printed out on the one side and the items he will need for the day on the other side. The system I use is quite simple and has been around for a long time. Thats great!

I have a network of assistants that I call friends, although some are just phone colleagues, but we help each other. If you know what works best for you and if your job is 80/20 on what you like then you can put up with the small stuff like filing and filling out expense forms. GET TO KNOW YOUR CO-WORKERS. This is useful if you want to file the email and change the Subject line to something that better describes what the email is about or to put notes in the email. You can also attach a file from Word, Excel or PowerPoint or a business card from your Contacts if it is someone you need to remember to call and want that information available.

Normally, I put something about needing to get my filing system up to date, but I think I may have missed the point when I have done that. I never know what to put down. I have found them to be really helpful.

I use hanging file folders labelled from January through to December. Every afternoon before I leave for the day, I go through the hanging file for that month to see if there is anything I need to bring forward for the next day. A tip she passed along had to do with the bring-forward system and has been a great tool for me.

If you have the proper access to your boss’s e-mail account you can reply on their behalf and it will appear in the From line.

This can be as simple as having hanging file folders marked from January to December and then you just put items in the appropriate month that you need to bring forward for your boss. Ctrl + Home moves the cursor to the beginning of the open file or document and Ctrl + End moves the cursor to the end of the open file or document, but if you are in the middle of a document and want to select everything from there down, press Ctrl + Shift + End or if you want to select everything from there up, press Ctrl + Shift + Home.
