My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). No surprises!

Once a date is finalized I put it in my bosss calendar and confirm the meeting with the other participants. Another benefit to writing it down is if your boss asks you to cancel it or to quickly tell you when the meeting is, you can look at the sheet rather than trying to search for it in your calendar. It is actually the same bring-forward system that I learned in high school, back in the 1970s, but in all my career had never needed to use until now. Another bring-forward and organizing tip my friend shared with me (that she picked up from another assistant along the way) is using two-fold folders, with inside pockets.

He takes about 12 steps, squats and rejoices in his accomplishment, then he gets up and walks another 12 steps and squats again to repeat the process. If it is a big project I use a calendar and write down all my required to-dos on the dates I need to get them done to make my deadline. If I am told that I should have it in the next few weeks, or can expect to receive it in a couple of months, that doesn’t really help me with my follow up as it is not a definite date.

It works well when it is a co-worker who sits closest to you, but depending on how your office is set up that might not be possible. She had to set up an away voicemail message and fortunately had kept a script of what her away message usually said, She worked for a doctor so it was important that the proper referral numbers were given.

I have been on some interactive sites where assistants ask questions and get answers and I learn from them as I have some of the same questions. Lunch n learns are also a good way to learn from each other. Administrative newsletters or bulletin boards where you can post tips or suggestions is a good way to learn.

I think Tasks is one of Outlooks best-kept secrets, but it shouldnt be and is a great way to follow up on items. If I send an email to a co-worker requesting information, I immediately drag it from my Sent items to my Tasks, set a reminder to follow up and write in the Subject line "Did I get this information". Dealing in real time.

I take the bus to work and I often see people getting on a busy bus and then going through their backpack or purse looking for their bus tickets and holding up the line. I like to be prepared and I find life just works better for me at home, work and even on the bus, when I am organized and ready for whatever is coming up. no tickets.

Another time I was trying to find a full-serve gas station to fill up, but there was nothing to be found. It was expensive,but when I brought it home I had to do all the work to get it up and running. He loved it and I believe ended up doing his job better because of it. I remember when self-serve gas stations first started.

I was at the cottage with a friend and she was cranky and started to get wound up about something to do with her husband. By the end of the call her husband had caught her crankiness and it ended up with them both being angry. She ended up calling her husband back and apologizing for her bad mood.
