Phone ringing? When I’m doing important work, I also switch off my phone. It really streamlines the process. Or defer it to a later period. 12 – Block out distractions. What’s distracting you in your work? Instant messages? Text messages popping in? I hardly ever use chat nowadays. Otherwise it gets very distracting.

Remove everything else - pens, stapler, toys, gadgets, phone, monitor, etc. Process the paper – take the items you sorted into boxes and put them where they belong: filing, your tickler or reading folder or delegate/refer to a more appropriate person, etc. Dust and polish - give your desktop a cleaning.

Also, taking out a pen and paper takes away from the whole thought spontaneity process. I’ve tried a number of alternates to this on my PDAs of the past and phones, even on the CLIQ. None are as easy to use as any Olympus-brand voice recorder with a handful of (no pun intended) ergonomically-placed tactile keys.

Even with an in-basket, you need to process your mail daily to avoid accumulating a stack of paper. Get a single notebook and use it to record notes, phone numbers, web addresses, ideas, to-dos, etc. Create a list or binder of regularly referenced material, such as phone numbers, and keep it accessible in a desk drawer.

My suggestion – to keep the process short but to acknowledge the receipt of information and your appreciation – is to put the thank you on the subject line along with the indicator END. Sometimes a better way to communicate would be picking up the phone or meeting someone face to face.
