If the meeting is by teleconference you should have call-in numbers typed in the meeting notice. If the participants are in different time zones it would be beneficial to put that information in the meeting comments. The categories section in Outlook is located in the bottom right-hand corner of the meeting date.

I keep mine in an encrypted Word file on my computer. I also have an encrypted file with various other important numbers like my and my husbands social security numbers and the like. Servers are usually backed up daily, so your file will likely be restored. However, you probably want to password protect file.

At one office I worked in we had a mail cart with slots for everyones mail, but it was filed First name, Last name. Each time I went to get my mail I would find my mail in the other Patricias slot or vice versa. the phone book, standard filing practices etc.) Im sure you know what Im talking about. Well here is one of my Grrr!

Put reminders in their Tasks or Calendar of anything you know is coming up with enough lead time so they will have time to complete it. Remind them verbally as well when you meet with them. Keep an organized filing system and file list.
