In other words, you will probably not be able to speak to the person, but you have to communicate to them in some way that you have updated their calendar. It involves an understanding that you have to look ahead and see what is in the calendar.

I purchased a small address book in which I can keep the website address along with my user name and/or password for each particular site. Using the address book allows me to keep websites alphabetically rather than searching through pages of a notebook or sticky notes in all states of disarray. August 02, 2010 Patricia Robb said.

Try to anticipate the need so you can have the file or the answer your boss needs, before he or she even knows they need it. A good assistant knows just where to find the document or file needed, or they won’t stop looking till they do. I finally had a chance to sit down and read your book over the holiday.

I use hanging file folders labelled from January through to December. Every afternoon before I leave for the day, I go through the hanging file for that month to see if there is anything I need to bring forward for the next day. A tip she passed along had to do with the bring-forward system and has been a great tool for me.

If that is not happening, schedule yourself in their calendar. If you do arrange to meet with them, be prepared with questions and information so they will see the benefit. Keep up to date on their calendar and look ahead to see what is coming up and what your boss might need to prepare for that. Return the favour if you can.

When I receive an initial request for a meeting, I use a meeting form and write down the information I need: who is requesting the meeting, what is the purpose of the meeting, where it will be held and a phone number or an e-mail address and dates that are available. Excellent material! Minute taking made easier.
