Try to anticipate the need so you can have the file or the answer your boss needs, before he or she even knows they need it. Be protective of your boss’s time. Be professional on the phone and greet people who come calling, but not everyone needs to get in to see the boss. Be very selective and guard their time.

Even if you phone the bank they need your secret passcode or they wont speak to you about your account. I keep mine in an encrypted Word file on my computer. I also have an encrypted file with various other important numbers like my and my husbands social security numbers and the like. Thanks everyone for your input.

When I receive an initial request for a meeting, I use a meeting form and write down the information I need: who is requesting the meeting, what is the purpose of the meeting, where it will be held and a phone number or an e-mail address and dates that are available. When a meeting is finalized, I put the scheduling sheet in a completed file.

At one office I worked in we had a mail cart with slots for everyones mail, but it was filed First name, Last name. Each time I went to get my mail I would find my mail in the other Patricias slot or vice versa. the phone book, standard filing practices etc.) Im sure you know what Im talking about. I wrote an article called We Dont Know What We Dont Know. I think the first reason is what I put in my original article. This is useful if you want to file the email and change the Subject line to something that better describes what the email is about or to put notes in the email. We dont know what we dont know.

The system I use is quite simple and has been around for a long time. Tried and True Method: I set up 12 hanging file folders labelled January through to December. I then put the items in a two-fold file folder with his calendar printed out on the one side and the items he will need for the day on the other side. Thats great!

Put reminders in their Tasks or Calendar of anything you know is coming up with enough lead time so they will have time to complete it. Keep an organized filing system and file list. Get any files they may need as a result of the e-mail correspondence. Check with your boss and if agreed, unsubscribe from any unnecessary e-mails that may be cluttering their Inbox or create subfolders and drag and drop these e-mails there for your boss to check when he or she has the time to review them. Normally, I put something about needing to get my filing system up to date, but I think I may have missed the point when I have done that. This can be as simple as having hanging file folders marked from January to December and then you just put items in the appropriate month that you need to bring forward for your boss.
