I use this all the time on my calendar and my boss's calendar, and it helps us both to know which events are phone calls which he can take in the office or on the road (yellow) or which events will require travel (blue). I have a similar system with my boss. There is a colour for travel, business, personal, etc.,

Thank goodness I get three tries to pick the right one before the system locks me out. The first time it doesnt work, I assume I entered it wrong so try again. Of course even if the system hadnt crashed, I would have needed to know my server and Outlook password so I could get into my sub-folder with all my passwords?

Bring Forward System or Using Tasks in Outlook Have a system to follow up on items your boss has asked you to do or things you know you need to do. I love this system and at the end of each day I go through my folder and pull out what I need for the next day. I have also learned that neat tip with Outlook Tasks.

Normally, I put something about needing to get my filing system up to date, but I think I may have missed the point when I have done that. All you need is to put some time aside and close your door, or put some earphones on, and plug into your computer and learn. I never know what to put down.

A good bring-forward system is a must for this as you will want to bring forward items they will need for meetings and conference calls. Put reminders in their Tasks or Calendar of anything you know is coming up with enough lead time so they will have time to complete it. Keep an organized filing system and file list.

There are many other things you can do with rules so take the time to check them out and feel your way around. Share what you have learned with your boss. A simple system is best as they are normally on the move and cannot take the time to figure out elaborate filing systems. It will be worth the effort.
