Along with our multiple work passwords, we have a password for our home computer, and if we sign up for Facebook, Twitter or any other website, we have another password to remember. I hope you keep your address book locked up as that would be a very valuable source of information for someone up to no good. Works so far!

At one office I worked in we had a mail cart with slots for everyones mail, but it was filed First name, Last name. I grew up in a world that used Last Name, First Name (i.e. the phone book, standard filing practices etc.) This goes for filing and also how your contacts are ordered in Outlook. Well here is one of my Grrr!

Tried and True Method: I set up 12 hanging file folders labelled January through to December. I then put the items in a two-fold file folder with his calendar printed out on the one side and the items he will need for the day on the other side. The system I use is quite simple and has been around for a long time.

I can hardly keep up with my own e-mails at times let alone someone elses account, but that is part of my job. Get any files they may need as a result of the e-mail correspondence. If you pay attention to what is going on in their Inbox, you will not be taken by surprise when things come up. Very good article Patricia!

You want to keep up to date on their working life and all they have to do. Keep up to date on their calendar and look ahead to see what is coming up and what your boss might need to prepare for that. Remind them verbally as well when you meet with them. Keep an organized filing system and file list.
