Meetings, meeting, and more meetings! In spite of all the technology, meetings have not gone away. As an assistant of 20 years, I had one perspective of meeting management. You must keep these things in mind when you are managing your executive’s calendar.

One of the things they recommended to executives was to use their electronic calendar to leave themselves reminders. When you are checking through the Scheduler, it gives no details on the meeting, just that you are not free. Otherwise too many colors make the calendar overwhelming, not helpful.

Organizing someone else’s calendar can be challenging. In other words, you will probably not be able to speak to the person, but you have to communicate to them in some way that you have updated their calendar. It involves an understanding that you have to look ahead and see what is in the calendar. Sometimes a calendar can change, a meeting gets cancelled or postponed and needs to be rescheduled. Make sure that what you are putting in the calendar is doable.

I have daily meetings with my boss so sometimes I print the e-mails that I have questions on and put it in a folder and then we go through each item and he lets me know what, if anything, I need to do. If he is travelling, I send it by e-mail, but it has been my experience that I will get better results with a face-to-face meeting. Sometimes e-mail is not the best way to communicate and it needs to be followed up by a phone call or face-to-face short meeting.

To set a recurring 9-5 meeting (as opposed to clicking all-day meeting) I dont like the all-day meeting settings as they are out of sight at the top of the calendar and easily missed. His calendar then shows blocked time and nobody misses seeing that he is away.

As an Executive Assistant to a busy CEO, I have to organize my boss and I needed a bring-forward system to meet his needs. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder. I then print his daily calendar and slip that in the left pocket of the folder and on the right side I put everything he will need for the day. To-do lists I have to-do lists for the Board and Committee meetings and a to-do list for the Board Reception and Dinner. My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. Good thing to check before the meeting begins.

I mentioned this to our team of admins at one of our meetings so when one of my co-workers found out how to do something they thought to share it with the team. The Reminders box is the same box where your calendar items pop up when they are due, so should be familiar to everyone.
