A meeting planner by MY definition is the go-to person within an organization – be it corporate, association or otherwise – charged with the responsibility of planning and executing a meeting or special event. I would maybe work with suppliers in any given city once or twice, while a DMC worked with these same suppliers many times over.

In addition I met with a number of serviced apartment suppliers and from the outset it was clear that the apartments were considerably cheaper than the best corporate rate I was offered at a hotel. Looking back on this it was easy to see that their were definite benefits to using serviced accommodation but also a few shortcomings.

While you're negotiating the per-person fee, consider the average salary of the office employees. Once you've got your final figure, you can start to plan. If the supplier knows you are ready to buy for the right price they will cut you a deal. Get better payment terms by negotiation. Promise to buy from one supplier for better payment terms, like 60 or 90 days. Getting a better price is especially easy to do right now, since suppliers are tripping over themselves to get business.
