Tech glitches happen all the time and 2 people controlling one person's calendar is not the easiest thing. If you have to purchase stuff for your boss - ask to xerox the credit card, both front and back now. Don't forget about official, company, school, and religious holidays.

The Spiral Notebook Purchase (and then use!) Utilize your calendar to schedule tasks. Sit down at your calendar and block out the time for your tasks. If you need to write/send your holiday cards then look at your calendar and schedule it in. In the calendar. Don't fill your calendar to the max.
