The goal is to set a date and time and to work around it even as other meetings come up. It’s best to give some inkling of a reason as obvious as it may seem and reschedule ASAP so they don’t feel unimportant or that you’re actually canceling for good. We had to know for sure they would not come in (nor my boss’ boss).
