I always synch all of my files from my main Mac computer in my home office to Dropbox so that I am sure to have all of them handy while on the road by using the app on my phone and tablet. I use Asana for task and project management, and the app is on my iPhone and iPad, so I can see all of my tasks at a glance and add to them if needed.

A List in Mail Pilot 2 can be very much likened to a folder where you will keep messages related to a certain project or function. The list was not permanent and I made a point of moving all messages to my archive folder once complete, however it definitely improved my ability to retrieve a message relating to an in progress project.

And some of them will become projects, a sequence of single actions. For instance, don’t spread a project task in more than one category of Assess, Decide or Do. Some of them will be rewritten as single tasks. Some of them will remain there and be brainstormed again and again until they evolve into a form you’re comfortable with.

When I started to work for this project (and yes, it was just a pet project in the beginning), all I did was to log daily my progress. Learned how to create a project and what the folder structure means. Did a few tests with some sample projects to see how the building process works. Can be tricky at times. Got some rest.

Now my team and I use Dropbox , so it’s become my default digital filing cabinet. You may have categories such as: Accounting, Legal, Marketing, Operations, Projects, Executive A, Executive B, Personal, etc. I don’t need to store it in every single project folder on my hard drive. Create a designated folder for downloads.
