My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). It works well when it is a co-worker who sits closest to you, but depending on how your office is set up that might not be possible. She had to set up an away voicemail message and fortunately had kept a script of what her away message usually said, She worked for a doctor so it was important that the proper referral numbers were given.

If it is a big project I use a calendar and write down all my required to-dos on the dates I need to get them done to make my deadline. If I am told that I should have it in the next few weeks, or can expect to receive it in a couple of months, that doesn’t really help me with my follow up as it is not a definite date.

Another bring-forward and organizing tip my friend shared with me (that she picked up from another assistant along the way) is using two-fold folders, with inside pockets. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder.

To set a recurring 9-5 meeting (as opposed to clicking all-day meeting) I dont like the all-day meeting settings as they are out of sight at the top of the calendar and easily missed. His calendar then shows blocked time and nobody misses seeing that he is away. Your bosses calendar will now show Monday to Wednesday blocked from 9-5.

While the large-sized one isn’t ideal for everyone, the Mini Ideaboard is something I’d use for mind mapping and mocking up ideas to share with others. The NeatDesk looks good, doesn’t take up a lot of room, and works great as well. If you’re into a cross-platform task management app that looks as good as it performs, go with Flow.

Once a date is finalized I put it in my bosss calendar and confirm the meeting with the other participants. Another benefit to writing it down is if your boss asks you to cancel it or to quickly tell you when the meeting is, you can look at the sheet rather than trying to search for it in your calendar. Minute taking made easier.

I take the bus to work and I often see people getting on a busy bus and then going through their backpack or purse looking for their bus tickets and holding up the line. Another time I was trying to find a full-serve gas station to fill up, but there was nothing to be found. I think Tasks is one of Outlooks best-kept secrets, but it shouldnt be and is a great way to follow up on items. If I send an email to a co-worker requesting information, I immediately drag it from my Sent items to my Tasks, set a reminder to follow up and write in the Subject line "Did I get this information". Dealing in real time.

In other words, I wanted to be able to access my email, calendar, tasks, and notes from anywhere. The Tasks in Google Calendar is measly and doesn’t have the ability to set priorities, recurring tasks, and, most importantly, synch with my phone. You can scan in UPC codes or look up food items by restaurants and fast food stands.

In the Advanced/General preferences panel, you can set Postbox to use Gmail’s keyboard shortcuts and you can also create events within Google Calendar for detected dates. As many of you may know, I’m not a fan of using your e-mail app to manage your tasks. If you’re a big Gmail user, then Postbox has you covered.
