To add an attachment, click on the Insert tab and choose Attach File or Attach Item. For instance I will put a reminder to call a client and put the name and phone number in the Subject line. I also like to turn on the stat holiday alerts in Outlook so you will see all the stat holidays in a calendar year.

Sort – everything into boxes/containers according to what needs to be done: file , shred, recycle , refer, toss, etc. Remove everything else - pens, stapler, toys, gadgets, phone, monitor, etc. Organizer ( paper or electronic) to enter to-dos, addresses or calendar data. Dust and polish - give your desktop a cleaning.

Try to anticipate the need so you can have the file or the answer your boss needs, before he or she even knows they need it. When I receive an initial request for a meeting, I use a meeting form and write down the information I need: who is requesting the meeting, what is the purpose of the meeting, where it will be held and a phone number or an e-mail address and dates that are available. When a meeting is finalized, I put the scheduling sheet in a completed file.

Tried and True Method: I set up 12 hanging file folders labelled January through to December. I then put the items in a two-fold file folder with his calendar printed out on the one side and the items he will need for the day on the other side. I finally had a chance to sit down and read your book over the holiday. Thats great!

Set your cell phone alarm so you give yourself enough time to wake up, get out of the sleepy daze, and be functional when you return to your desk. If you're lucky, there's not a phone in the restroom or you're not expected to answer your cell phone from there. Or go sit on the steps in the stairwell, or the supply room.

This can be as simple as having hanging file folders marked from January to December and then you just put items in the appropriate month that you need to bring forward for your boss. Sometimes e-mail is not the best way to communicate and it needs to be followed up by a phone call or face-to-face short meeting. Excellent material!
