I will go back and forth to it; check my emails, answer a phone call, make a coffee or just generally procrastinate. There are also loads of Outlook tools that automate email filing and diary management. Over the last year I have been testing a few more techniques to help improve my productivity that I want to share with you today!

I’ve already started to receive emails from Twitter to promote Practically Perfect PA via their new paid for advertising structure. For assistants this software will be most useful if your Executive team uses it to collaboration and storage of board papers – goodbye printing and stapling hundreds of documents each year!

It allows us to easily email branded invoices to our clients, which they can then pay by mail or online. By recording payments as we receive them, we can just as easily monitor overdue payments and send email reminders. I sit in my car and check my email. We can also generate reports to track our income. You won't regret it.

In addition to the name, phone numbers, company, and e-mail, include where and when you met the person, who introduced you, and why you might want to contact him/her in the future. I put in as much info as I need to find that contact at a later date (name, company, title, industry, etc). A pile of business cards is simply clutter.

If you can’t figure it out, ask the person or company that rejected you. If you run a small company, lose a contract and go bankrupt, is that success? I printed out all the feedback – the good, the bad, and the ugly – and stapled it to my story. If you sent in a guest post to a blogger, ask why it got rejected.
