When I receive an initial request for a meeting, I use a meeting form and write down the information I need: who is requesting the meeting, what is the purpose of the meeting, where it will be held and a phone number or an e-mail address and dates that are available. Much easier than searching in Outlook and less stressful.

If it is a planned time off then you can meet with your buddy and give them any instructions or information they will need to handle in your absence and any contact names and numbers. I like to have a contact card with my buddys general information in it such as log ins and passwords as appropriate. Too much information.

Minute taking definitely isnt easy, but it doesnt have to be stressful. An e-mail like the one I received would have been better delivered face to face or by phone in order to get the tone of what the person was trying to communicate. I stop the flow and pick up the phone. It is amazing how quickly a matter can be handled on the phone or in person. This little tip has been a huge time-saver for me.

Using e-mail is a great tool, especially if you are trying to cut down on company costs via international phone calls and postage fees. Sure, there are times that e-mail is appropriate, such as when you need some sort of record from a client to fulfill their product order. At least you will have proof of it.

If I forgot to bring my laptop with me to a meeting out of town, that would be an almost disaster for me because I prepare my minutes ahead of time on my computer and basically all I have to do at the meeting is fill in the blanks. Too much information. A memory stick is my back up if my laptop and I part ways. Do you like what you do?

This does increase the preparation time, but on the day of the meeting it goes very smoothly with no stress. Under each agenda heading you can then record the appropriate information when you are in the meeting. Too much information. Didn’t actually know where to head because there was too much information I didn’t master. The biggest confusion at that time was the syntax, many errors from improper using or accessing properties. I think that was also the day when I started to use my app as an excuse for not going out or as a standard answer at the phone.
