I have a similar system with my boss. I put travel in red and action reminders in yellow, but that is our own system and it works for us. but I don't use that system or know what the colours mean. Thank goodness I get three tries to pick the right one before the system locks me out. On some sites there is an option to "Remember my password," which is helpful until your system crashes and you lose everything and then how are you ever going to remember what the password was in the first place since you havent had to enter it in a year?

Maintaining a good bring-forward system is important to have things ready when needed. Having a good filing system and keeping the file list up to date is something every assistant needs to be able to do. As long as the end product looks good, at times we have to be creative to get there. Be prepared and think ahead.

Check: Do you have a system for prioritizing your workload? It automatically updates when I use an office product, and I can manually enter stop/start times for phone calls, meetings, face to faces, etc. Really great tool for analyzing your productivity. Bring Forward System or Using Tasks in Outlook Have a system to follow up on items your boss has asked you to do or things you know you need to do.
