Participants do have to concentrate on a conference call so think about the time of day when your manager seems particularly focused. Do ask if they are in a different time zone to you. Conference calls do actually take a little more time to organise than a usual face-to-face meeting but the basics should be the same.

Even if you phone the bank they need your secret passcode or they wont speak to you about your account. Thank goodness I get three tries to pick the right one before the system locks me out. The first time it doesnt work, I assume I entered it wrong so try again. However, if the server crashes, there goes my excel sheet!

I use this all the time on my calendar and my boss's calendar, and it helps us both to know which events are phone calls which he can take in the office or on the road (yellow) or which events will require travel (blue). I have a similar system with my boss. but I don't use that system or know what the colours mean.

Managing messages in bulk, but still in a consistent fashion, can help save time. Check: Do you have a system for prioritizing your workload? Doing too many things can actually waste time. Check: Are phone calls planned? For each one, write down what you hope to accomplish with the phone call to help you stay focused.

Your manager asks you to create a report of some sort and wants you to send it to a client, but making sure that they cannot manipulate the information. Also, keep in mind that you don’t want anyone to alter the information in your report. This will enable you to create a PDF-like file where no one can manipulate information.

If it is a planned time off then you can meet with your buddy and give them any instructions or information they will need to handle in your absence and any contact names and numbers. I like to have a contact card with my buddys general information in it such as log ins and passwords as appropriate. Too much information.

If its your boss thats asking for this information, make sure to read the e-mail right away. The "Broken Record" Approach The best way to combat this is using the "broken record" approach. Keep telling the person that you will get to it as soon as possible. Everyone else falls into the queue afterwards.

One thing that Ive noticed and I have been a suspect of this as well in the past, is that people tend to leave their shared files open on their computers while they are gone for long periods of time. If someone else needs to access information, they can just click the "Read-Only" button.

Be protective of your boss’s time. Be professional on the phone and greet people who come calling, but not everyone needs to get in to see the boss. Be very selective and guard their time. Maintaining a good bring-forward system is important to have things ready when needed. Too much information.
