My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). Since Outlook only allows for one time zone to be added to the persons calendar , this makes it a little difficult. As for the DST, it really does mess things up. I am currently in the process of doing this for one of my managers. I need to book meetings for him to travel to firms all over Canada.

Another bring-forward and organizing tip my friend shared with me (that she picked up from another assistant along the way) is using two-fold folders, with inside pockets. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder.

If it is a big project I use a calendar and write down all my required to-dos on the dates I need to get them done to make my deadline. If I am told that I should have it in the next few weeks, or can expect to receive it in a couple of months, that doesn’t really help me with my follow up as it is not a definite date.

It works well when it is a co-worker who sits closest to you, but depending on how your office is set up that might not be possible. She had to set up an away voicemail message and fortunately had kept a script of what her away message usually said, She worked for a doctor so it was important that the proper referral numbers were given.

Once a date is finalized I put it in my bosss calendar and confirm the meeting with the other participants. Another benefit to writing it down is if your boss asks you to cancel it or to quickly tell you when the meeting is, you can look at the sheet rather than trying to search for it in your calendar. 411 Look Up 411.ca

I take the bus to work and I often see people getting on a busy bus and then going through their backpack or purse looking for their bus tickets and holding up the line. I like to be prepared and I find life just works better for me at home, work and even on the bus, when I am organized and ready for whatever is coming up. no tickets.

Another time I was trying to find a full-serve gas station to fill up, but there was nothing to be found. It was expensive,but when I brought it home I had to do all the work to get it up and running. He loved it and I believe ended up doing his job better because of it. I remember when self-serve gas stations first started.

I can hardly keep up with my own e-mails at times let alone someone elses account, but that is part of my job. I think Tasks is one of Outlooks best-kept secrets, but it shouldnt be and is a great way to follow up on items. If I send an email to a co-worker requesting information, I immediately drag it from my Sent items to my Tasks, set a reminder to follow up and write in the Subject line "Did I get this information". 411 Look Up 411.ca
