Each meeting has some differences, but usually the basics are the same so your checklist can be pre-populated with those things so you can re-use it for each meeting. I booked one of my former bosses on a flight to Toronto. Years ago, when I worked for the Royal Canadian Mounted Police (RCMP), I took a training course on a Telex machine. Again, when I worked at the RCMP, I went on a training course for a machine to do criminal record checks. Of course I had to tell everyone at the office. *

Some things I have on this list is a memory stick with the minute templates, tentcards, meals ordered, meeting packages, pen, notebook, highlighter, calculator (I hate math so just in case they ask something that requires mathematical skills) and attendance records to establish quorum for each meeting. It is interesting work.

Sometimes scheduling meetings can be a headache with no end in sight trying to get all the parties together. Give the task to an assistant and we will work with everyone involved and not only set up the meeting date and time, but book the boardroom, photocopy and distribute the meeting materials and arrange the flight and hotel if necessary.

Now I know there are plenty of services out there that you can use for meeting organization. You can use a meeting tool alongside Evernote if you want (or need) to.
