If you use a filing system for your to-dos, create folders numbered from 1 - 31. You can read more about using Outlook for tasks in this article. Also, heres a great article about time management. Try to complete tasks that need your attention within 2 - 3 business days. I used to use this at one of my old jobs.

They can use any other means of communication, even picking up the phone and talking to each other. There have been instances of where employees that sit a few cubicles away from each other prefer to e-mail rather than walk over or call the other on the phone. E-mail is strictly prohibited and is enforced.

I use this all the time on my calendar and my boss's calendar, and it helps us both to know which events are phone calls which he can take in the office or on the road (yellow) or which events will require travel (blue). I have a similar system with my boss. but I don't use that system or know what the colours mean.

Even if you phone the bank they need your secret passcode or they wont speak to you about your account. Thank goodness I get three tries to pick the right one before the system locks me out. Check: Do you have a system for prioritizing your workload? Check: Are phone calls planned? For each one, write down what you hope to accomplish with the phone call to help you stay focused. Managing messages in bulk, but still in a consistent fashion, can help save time. Doing too many things can actually waste time.

Be professional on the phone and greet people who come calling, but not everyone needs to get in to see the boss. Maintaining a good bring-forward system is important to have things ready when needed. Having a good filing system and keeping the file list up to date is something every assistant needs to be able to do.
