For example, I always found the post room staff to be incredibly helpful when I needed details for a new supplier – they see parcels, packages and couriers bringing new products in and out of the office all day long.

I really like the Afar website and email updates for overall travel news and ideas for any trips colleagues or clients may want my advise on. The same goes for CN Traveller which is good for general travel updates but also luxury hotel reviews. Business Traveller is useful for specific business travel updates, new hotels and travel guides.

Get the best corporate hotel rates

If your organisation uses a corporate travel agent you might be contractually obliged to use their services for overseas travel but not necessarily for hotels in or near your office. Again this is worth checking because you might be able to negotiate a better rate than your travel agent (they generally charge hotels commission for confirmed bookings which makes can increase the price of the hotel room).

Serviced Apartments – pros and cons

In addition I met with a number of serviced apartment suppliers and from the outset it was clear that the apartments were considerably cheaper than the best corporate rate I was offered at a hotel. I spent a long time managing the relationship with the serviced apartment supplier and also dealt with all of the positive and negative feedback from the consultants.

So I found a company that had a registration system already in place that could handle all back-of-the-house technical details which freed me up to create the fields required on the registration form that would allow me to capture the information that was needed to track sleeping room and travel requirements, recreational activity requests, food allergies, etc. I would maybe work with suppliers in any given city once or twice, while a DMC worked with these same suppliers many times over.
