On the job tips for new Admins.

I have daily meetings with my boss so sometimes I print the e-mails that I have questions on and put it in a folder and then we go through each item and he lets me know what, if anything, I need to do. If he is travelling, I send it by e-mail, but it has been my experience that I will get better results with a face-to-face meeting. Sometimes e-mail is not the best way to communicate and it needs to be followed up by a phone call or face-to-face short meeting.

Do you ever get a meeting request and an agenda has not been provided, or if it is a teleconference the call-in details have not been given or the boardroom hasnt been booked for an internal meeting? When booking meetings ownership of the meeting has to be established. I love having a checklist so suggest for each meeting you start a checklist to make sure you cover all the bases.

He will have a quick conversation with a staff member and set up a meeting, but not tell me anything about it. Assess which meetings can be adjusted without too much disruption. Many times the administrative assistant position is a good way into an organization and what a great training ground to know an organizations inner workings than in this profession. She saw the importance of this training to help her daughter know the workings of an office from the bottom up and the office benefitted from her educational training. Colour Coding Works.

I was in back-to-back Committee meetings and I decided to use two different colours of folders, a blue one for the Committee members, with an attendance sheet stapled to the inside cover for my purposes, along with their meeting packages, and a red one for the Chair with everything the Chair was going to need. Because the meetings were right after the other and I had lots of packages with me, it was easy to distinguish what went to whom just by looking at the colour.
