Taming the Email Monster

Taming the Email Monster. How many emails are in your inbox right now? When someone asks you if you have received their email, will you bend the truth to ‘cover’ for yourself because you won’t know? You have email overwhelm! Some reasons for email overwhelm: People you work with needlessly carbon copy everyone on everything. Or everyone ‘replies to all’, or adds on to long email threads. Are you sending too many emails?

Online Organizing Tools

Clutter Coach

This is an online household chore board disguised as a monster-fighting video game. Fighting monsters along the way is optional. Another intriguing one is FutureMe.org , a free service that lets you send emails to yourself in the future. I have often thought it would be helpful to send myself email reminders. Of course, I can put them in my datebook, but I find I look at email more often than my datebook; I use it as an organizing tool.

Hopefully, not too many of you were affected by the email system outages yesterday. In this case, commercial email services were affected, but the next time it could be your server at work. Fortunately, it’s easy these days to create backup email accounts. In a worst case scenario, you just jump over to your free web account and send out notices that your normal email is down temporarily. Home About Me Advertise On E-mail Blackouts.

Clean Your Home Office, Not Your Bank Account

I don’t want to hurt my dog; I’m not some kind of monster. Office cleaning takes up time that you could be using to check your emails, work on projects, and even eat peanut butter cups during your ‘down time.’ Home office cleaning is no one’s idea of a fun weekend.

Setting Healthy Boundaries Today

Another boundary you might need to set is your accessibility after hours to your leader as far as emails go. One administrative assistant, who’ll I’ll call Sue for anonymity reasons, said that originally her manager did not expect her to check business emails and take action on non-work hours.

Smart Phones: Master or Servant?

Simple Productivity Blog

It means that from anywhere I can look up directions for anything; I can send email; I can surf the web; I can read blogs; I can check my email; I can login to my work computer; I can check for prices and coupons; I can text (my old phone rendered texting impossible); I can Tweet; I can check Facebook. I might end up working longer hours or answering work email during vacations because I can access my computer from anywhere. I might end up checking email from bed.

Clock In The Right Time Zone: Booking Meetings in Microsoft Outlook

Professional Assistant Blog

Home About Me Advertise Clock In The Right Time Zone: Booking Meetings in Microsoft Outlook By The Professional Assistant on Thursday, August 28, 2008 Filed Under: Meetings , MS-Outlook , Organize , Productivity , Travel D o you need to book meetings for your manager(s), but most meetings are all over the country or even internationally? Do you have trouble trying to figure out the time zone for each meeting in Microsoft Outlook ? I am currently in the process of doing this for one of my managers. I need to book meetings for him to travel to firms all over Canada. Since Outlook only allows for one time zone to be added to the persons calendar , this makes it a little difficult. The best way I could find accomplishing this task is by having to change the time zone information each time I need to add a new meeting. I also have a time zone map open in an internet browser, so I can make sure that I am choosing the correct one. To add or change a time zone in Outlook, follow these simple steps: Right click on the area marked in the picture below, then click Change Time Zone. Click on the check box for Show an additional time zone, then use the drop down arrow to select the particular time zone you wish to use. At this point, you can flip to your internet browser to see which time zone is the correct one. Now you can see by the picture below that the new time zone has been added. You can now add in the meeting details for this time zone. Note: Make sure to add the time in the meeting schedule (for example: Meeting with client, 1:00 pm Calgary time), so the manager knows that this is the correct time to meet with this client. There have been instances where people would get confused as to whether the meeting was booked on the managers time zone or the clients time zone. Post from: Administrative Assistant 2comments for this post Babyanne Richard, You have no idea how many hours this is going to save me (and my manager because she double checks her meetings when going over seas). I honestly think if you were here this morning when I read this I would have kissed you!!!! Time Zones are the one thing that I cant wrap my brain around!!! And when you through DST into the mix I am totally lost!!! Thanks again for your very helpful tips and trick you ROCK!!! Posted on 29 August, 2008 10:36 AM The Professional Assistant Hi Babyanne, Thanks for the comment. Dont know how thrilled my wife would be though. As for the DST, it really does mess things up. There actually is a function within the time zone option where you can either allow or disallow DST.
