One of the things they recommended to executives was to use their electronic calendar to leave themselves reminders. I think if Microsoft asked me what I would like to see in an electronic calendar, I would suggest not to bother with the all-day event option. Otherwise too many colors make the calendar overwhelming, not helpful.

I rely heavily on Outlook to help with not only scheduling, but simple reminders, shared calendars, etc. Also, having full access to each person’s calendar is a must. If an exec is unexpectedly out of the office and a meeting that they scheduled needs to be cancelled, you can easily cancel it and manipulate their calendar. If you are on Google calendar and are a real control freak try having the colour of the folder match the colour of their calendar.

They are legal-sized folders, because I like a lot of space, but letter size would work just as well. My boss likes me to print his weekly calendar on Monday so he can see at a glance what he has for the week so I clip that to the front of the folder. I then print his daily calendar and slip that in the left pocket of the folder and on the right side I put everything he will need for the day. INCOMING MAIL: As with e-mail, you should read the letter to see if there are any action items for your boss (or yourself) and diarize them or put the appropriate dates in the calendar. Sometimes if you know your boss does want to meet with a particular person, you can go ahead and schedule it for them at a mutually convenient time and e-mail your boss to give them a heads up it is in their calendar. State the purpose of the meeting in the calendar appointment as well as who will be at the meeting (i.e. Enter it in calendar. My favourite to-do list is a calendar timeline so I can see at a glance where I am at and what I need to do to get there. It is simply using an on-line calendar with space on each day to enter what needs to be done. To generate a calendar in Word 2007, click on the Office Button (in the top left-hand corner). Under Office Microsoft Online, click on Calendars. You will be given a choice of many styles and types of calendars.

To set a recurring 9-5 meeting (as opposed to clicking all-day meeting) I dont like the all-day meeting settings as they are out of sight at the top of the calendar and easily missed. His calendar then shows blocked time and nobody misses seeing that he is away. Your bosses calendar will now show Monday to Wednesday blocked from 9-5. Once a date is finalized I put it in my bosss calendar and confirm the meeting with the other participants. Another benefit to writing it down is if your boss asks you to cancel it or to quickly tell you when the meeting is, you can look at the sheet rather than trying to search for it in your calendar.
