You can add the agenda to the meeting request by attaching it. My current boss travels a lot so I put his travel schedule in the calendar as well. For example if he is travelling to Vienna I will start a meeting request for each part of the journey and categorize it as Red. Sometimes I find meeting requests are not as clear as they could be.

Preparing for when everyone gets back - I have a meeting on the Friday after the holidays so will prepare the draft agenda and any materials so my boss can look them over when he gets in and then I will be able to quickly get the package ready to send out and prepare my minute template. Some people do have to travel though or just like having the consecutive time off between Christmas and New Years so it is nice for them that we are in the office so we can provide some backup for them.

He suggested that when I set up a meeting or organize travel for him I should ask myself, if I was the one going to the meeting, or on a business trip, what would I need in order to be prepared? So I do and when he has a meeting I make sure he has the agenda and any back-up materials, the location and directions if needed, the name and title of the person he is meeting, especially if he doesn't know them well, and the purpose of the meeting.

My Monthly Theme Report: February 2017


It’s still on the agenda. My Daily Themes did help me with my talks during the past month, but they actually helped me work on the other tasks I needed to take care of before my travels in March more. I mapped out my talks further, and I planned what needed doing before my travels for work and home. I spent half of the time deeply focused on developing the two talks I had on my plate and the remaining half doing “triage” for my impending travel.

To prepare a minute template simply use your agenda and put it in minute format. Under each agenda heading you can then record the appropriate information when you are in the meeting. I use the meeting agenda as an index with each item as a tab number. Below are a few tips so the task is not as daunting: Filling in the blanks I take minutes on a laptop so it is easy to make a template ahead of time which is based on the agenda. I put the items from the agenda on the template in the same order and with a space to put the discussion and decisions/actions from the meeting. Putting it in context You need to summarize the discussion around each agenda item and then write the action or decision that comes out of it.
