Enclosures: Should I use a Paperclip or Staple it?

Someone recently queried whether they should use a staple or paperclip on correspondence when they are enclosing documents. Business correspondence with more than one page should be stapled. The enclosures should be paperclipped or clamped to the correspondence, not stapled to it. I spoke to a few assistants and we all agreed.

I received an email referencing a survey conducted by Staples. The fun survey, conducted via Staples media channels, found admins to be more crucial to businesses than the boss, with nearly two-thirds reporting the office would more likely fall apart without the admin (65.2 Please find below a copy/paste from a portion of that email.

Some things that are nice to have on hand are a box of staples, various size clamps, extra pens and some highlighters. Organizing the desktop - I also like to have a clear desk with things I need in easy reach such as a stapler, staple remover, tape and some paper clips.

Papers that belong together should either be stapled or clipped so it will be evident to anyone looking through the file what belongs together. Fax transmission sheets and courier slips are also part of the story and provide proof that a document has been sent so should be kept stapled to the correspondence. Your file should be neat.

To do or not to-do? Managing with the to-do list

I usually put a subfolder in my project file for the to-do list, or if it is a small project, I staple it to the inside of the folder. I use a table format and put the Item #, Task Description, Due Date, Responsible Person and Status. I have different to-do lists for many projects.

It is my junk drawer with clips and staples and just about anything I might need during the day. Nothing is cast in stone, but it is a good idea to give the new person a heads up on what they might expect. Clean out your desk - My desk drawer is a mess. I would never want anyone else to see it.

I was in back-to-back Committee meetings and I decided to use two different colours of folders, a blue one for the Committee members, with an attendance sheet stapled to the inside cover for my purposes, along with their meeting packages, and a red one for the Chair with everything the Chair was going to need.
