I had a lot of trigger dates I needed to remember such as when to file a statement of defence after receiving a statement of claim, or putting in a reminder when the mandatory mediation kicked in. Colour coded file folders also became very important. I also use a stackable file tray and put folders in for the two meetings I organize.

Gone fishing Next, I started searching through hardcopy files at my desk and electronic ones on the server. I file everything by date (YYYY/MM/DD) and everything files chronologically so very easy to find and everything relates to the date of the meeting. It is amazing how much you can learn by what I call 'going fishing'.

This was mentioned a few times in the interview so I knew it was important and when I got the job I made sure to do my filing every day.

I named the folder _TO DO so it files right under my Inbox and therefore is very noticeable. When we were talking at the table what interested me was that people were using their email folders for filing and that was never its intent. I know, I know, that seems scarey but I've tried it and it works.

You just need to shift your thinking and get back on track with a different to-do list.

Sometimes you file something in a subfolder in Outlook and then later can't remember exactly where you filed it. What a great tool when you can't remember which folder you filed an e-mail. To do this: File Print - bottom left see Color/Grayscale, drop down menu, choose Pure Black & White for best copies. In Microsoft 2007 instead of File you press the Office Button which is located at the top left-hand corner of the screen. The default is set at Color. You have a choice of Color/Grayscale or Pure black & white.

My memory is failing me a bit here, but I believe the yellow copy was the file copy and the blue was the cc or bcc to be sent out. Today we still use the cc, but it is commonly referred to as a "courtesy copy", although I have still heard it referred to as a carbon copy. They were commonly called the "yellows" and the "blues".

I keep mine in an encrypted Word file on my computer. I also have an encrypted file with various other important numbers like my and my husbands social security numbers and the like. Servers are usually backed up daily, so your file will likely be restored. However, you probably want to password protect file.

Now it is even easier to use with professional looking labels for use on your files, organizing the supply cabinet or in a publication room to put labels so you can easily find what you are looking for. If you want to send an e-mail Privately it is quite simple and if someone else has access to your e-mail account from their computer, they cannot see the e-mails that are marked Private in either your Inbox or Sent items. With something like filing or expense claims, it normally doesn't have to be done right away, so block a time and break it up so you are not doing filing and the claims back to back. Again, I would suggest you put these tasks on your to-do list and schedule time to do them. Try to do something more interesting in between.

For instance, if I am planning a meeting with a client, I will type the client file number in the categories section. If my boss wants to quickly know when the meeting is, I do an advanced search and type in the file number and all meeting dates relating to that file number will pop up on screen.
