I attended an event today on minute taking. Our organization set it up for Admin Professionals' Week. Unfortunately, my first impression of the speaker was not very good because she was dressed down and looked rather frumpy.

To get ready the first thing I do is populate my to-do list with the tasks I need to do leading up to the event. My definition of a successful event is when it goes smoothly without a hitch. It is not that they want the recognition, but a pat on the back certainly goes a long way to making you want to make the next event even better.

I arrange quite a few events and have realized the importance of reading and reviewing the contracts carefully, highlighting key dates. I had an event for November 7th and the contract was signed, sealed and delivered, but then I noticed the hotel had put the wrong date on the contract. What are the dates you can cancel by?

Organizing a Conference

The only problem is, you usually have to organize the conference and still do all your other work and that makes for some pretty hectic days leading up to the event. If you have never organized a large event, this should help get you started. The day of the event is great as you get to meet the people you have only met by email.

Anyway, here is what my practice used to be at my previous job where I organized a lot of events. Since I was the lead for the event, immediately after it was over I would send a thank-you email to everyone who had helped and would cc my boss, the HR Director and the bosses of the people who helped.

Some things the more experienced admins could teach would be minute-taking, travel arrangements, meeting scheduling, event planning and organizing your boss. You can do it formally in a teaching format or informally talking to each other at a team meeting.
